Position Overview

Growing Roots Partners is seeking a full-time Events & Communications Coordinator to support the planning, promotion, and execution of farmers markets, festivals, and community events across Chester County. This role is ideal for someone with experience in events and communications who is excited to contribute to a mission-driven organization that creates dynamic marketplaces for local businesses and artisans and brings beloved community events to life.

The Events & Communications Coordinator serves as a key representative of Growing Roots Partners, helping ensure that events run smoothly from early planning through onsite execution and post-event follow-up. This position blends logistics, operations, vendor coordination, and communications support, requiring someone who is organized, proactive, detail-oriented, and comfortable working both behind the scenes and in public-facing settings. This role is ideal for someone who enjoys both creative communications work and the fast-paced logistics of live events.

Job Responsibilities

Event Planning & Vendor Coordination

  • Support the planning, logistics, and execution of all Growing Roots events and farmers markets under the direction of a supervisor.

  • Research, recruit, and communicate with prospective vendors as needed for events and markets.

  • Manage incoming vendor applications, assist with jury and selection processes, and draft acceptance and follow-up communications.

  • Track and maintain vendor documentation, ensuring all required materials are complete and up to date.

  • Draft and distribute vendor logistics, event details, and pre-event communications with supervisor support.

  • Understand, communicate, and help enforce vendor and event policies.

  • Assist with event layout planning, placemaking, vendor maps, and site design.

  • Help develop and maintain event timelines, task lists, and internal planning documents.

  • Participate in planning meetings, take notes, and support administrative follow-up.

  • Coordinate with municipalities, police, public works, and emergency services regarding permits, safety, and event operations.

  • Help organize, procure, pack, and maintain event supplies before and between events.

  • Participate in the full event lifecycle for all Growing Roots events, from planning and promotion through onsite execution and post-event evaluation.

Onsite Event Operations

  • Provide active onsite support during markets and events to help ensure a safe, organized, and successful experience for vendors, guests, clients, and partners.

  • Follow event run-of-show documents closely and help keep event-day operations on schedule.

  • Anticipate onsite needs, solve problems as they arise, and proactively complete tasks throughout the event.

  • Assist with event setup, breakdown, and cleanup.

  • Represent Growing Roots Partners professionally and warmly in all interactions with vendors, community members, clients, and event attendees.

  • Distribute and help review post-event surveys for vendors, clients, and attendees where applicable, and support action planning for future improvements.

Communications & Promotions

  • Support communications and promotional efforts for Growing Roots events and farmers markets.

  • Assist with the creation and execution of content across digital and print platforms, including social media, websites, newsletters, and promotional materials.

  • Create, schedule, and manage content for Instagram and Facebook, including posts, Stories, reels, and community engagement, following established content calendars and deadlines.

  • Support event marketing campaigns designed to increase visibility, attendance, and audience engagement.

  • Co-develop event-related creative materials with a supervisor, including promotional graphics and other communications assets.

  • Coordinate the distribution of print and promotional materials.

  • Organize, maintain, and distribute promotional assets to event participants and partners as needed.

  • Capture photo and video content at events and maintain organized digital asset files for future use.

Job Details

Compensation & Benefits

  • Hourly Pay: $18-22/hour, commensurate with experience

  • Paid Time Off: 5 days (Year 1), 7 days (Year 2), 10 days (Years 3-5)

  • Paid Holidays: Thanksgiving Day, Christmas Eve (half day), Christmas Day, New Year’s Eve (half day), New Year’s Day

  • Farmers Market Grocery Stipend:

    • $500 annually (Year 1)

    • $750 annually (Year 2)

    • $1,000 annually (Years 3-5)

  • Strong organizational, time management, and project coordination skills

  • Clear written and verbal communication skills

  • Ability to manage multiple priorities, meet deadlines, and follow through on details

Preferred Experience

  • Experience in events or festivals, hospitality, and/or community-based programs

  • Experience in communications, marketing, social media, or content creation is a plus

  • Familiarity with social media platforms, content scheduling, and audience engagement

  • Basic graphic design experience or familiarity with Canva or Adobe Creative Suite is a plus

  • Experience capturing event photo/video content is a plus

  • High school diploma or GED required; additional education, training, or relevant experience is a plus

Working Conditions

  • This is a hybrid role based in Chester County, PA, with regular onsite work at events, markets, meetings, and storage locations

  • Regular weekend work is required. Must be available on nights, early mornings, and weekends when needed, in accordance with Growing Roots events schedule

  • Ability to stand and walk for extended periods during events and market operations

  • Ability to lift and move event supplies and equipment, up to 30 pounds

  • Comfortable working outdoors in varying weather conditions

  • Ability to travel independently to event sites and storage locations

  • Ability to read printed materials and digital documents, including fine print
